Make a template you can reuse

A template is a document you set up once and reuse. Great for a contract or form you send a lot.

  1. Go to Templates and click to make a new one.
  2. Upload the PDF.
  3. Place the boxes where people sign (signature, date, initials, text).
  4. Say who signs — for example “Signer 1,” or “Client” and “Manager” if two people sign.
  5. Save it.

Now, any time you want to send it, you pick the template and just type in the new person’s name and email. Everything else is already set.

Placing and sizing boxes

The field buttons live in the bar across the top of the document — it stays in view as you scroll, so you can add a field to any page. Click a button to drop a field on the page you’re looking at, or drag it straight onto the exact spot. Each field has a small circle at its bottom-right corner — drag that to resize it. The size you draw is the size the writing prints, so make a box the width of the line you want it to fill.

Auto-filled spots (merge fields)

A merge field is a spot that gets filled in automatically each time you send — like the partner’s name, a territory, or an effective date — instead of the person signing typing it. Drop a Merge field where the value goes and give it a short name (the little box above it), e.g. partner_name. When you send from your own software you pass those values in; if you send from the dashboard, they come from the record.

If your PDF has placeholder text like “[PARTNER LEGAL NAME]” where a value or signature goes, blank it out in the original document before you upload. Otherwise the placeholder can show behind the filled-in value. Leave the spot empty and let the field fill it.

Uploading the PDF is only the first step — a template also needs the signature boxes and the signer roles. The PDF by itself isn’t enough, because we need to know where people sign.
